What is the school system's rationale for requiring an annual HRA and biometric screening?

The main goal of the KeepWell@Work program is to improve the overall health of our workforce. With the implementation of the CCPS Wellness Initiative, we're encouraging employees to take charge of their health. By requiring the HRA annually, each employee will be provided a Personal Wellness Profile, which will provide knowledge about their health risk factors and how they have changed over the course of the year. Employee's personal data is not shared with CCPS and HIPPA regulations are followed. A high level summary of the Wellness Profile results is shared with CCPS, to provide measurement of the performance of the CCPS Wellness Initiative over time.

I signed up for a 1-Year World Gym Membership during the Spring 2012 enrollment period. What do I need to do to keep my gym membership?

Your World Gym Membership will continue to renew, or "roll over", annually for as long as you would like to remain enrolled in the KeepWell@Work program. For your gym membership to continue to "roll over", you will need to complete the Health Risk Assessment (HRA) and biometrics annually.

ALL CCPS employees who participated in Spring 2012 must complete the HRA and biometrics during the Spring 2013 enrollment period. Failure to complete both components will result in termination of your World Gym Membership and/or Weight Management programs through KeepWell@Work.

My family member wants to sign up, but I do not. Is this allowed?

 The CCPS employee has to sign up for the KeepWell@Work program. Additionally, the CCPS employee must be present at the time of family member sign up in order to sign, and thereby authorize, the payroll deduction form. Payroll deduction forms must be signed in person by the CCPS employee; faxing or emailing a payroll form is not acceptable. 

I was a gym member a few years ago/my membership expired a few months ago, but I no longer have an active gym membership. Do I need to pay the $20 enrollment fee?

You are considered a "new" World Gym member if you do not have an active membership at the time of sign-up and will have to pay the $20 enrollment fee.

My family has a very busy schedule and we won't be able to make it to one of the sign-up sessions. What should we do?

The sign-up deadlines are set by CCPS. You must complete all components of the sign-up process by the deadlines set by CCPS. If you absolutely cannot attend one of the sessions, you can schedule an appointment to come to the KeepWell Center at Calvert Memorial Hospital to complete the sign-up process. If you are unable to sign up during the Spring enrollment period, you will have to wait until the Fall enrollment period to sign up.

What is included with my Gym Membership?

Each gym membership is a 1-Year Unlimited membership. This means there is no limit to the number of times you can use a given gym per day. All classes offered by World Gym are included at no additional cost. Childcare is not included in your World Gym Membership.

I don't want a Gym Membership or a Weight Management Program. Can I just do the Health Risk Assessment (HRA)?

Yes. You are not required to sign-up for a gym membership or weight management program. However, the cost of your HRA will be deducted from your payroll. The cost of the HRA is $26, which is processed as a $1.00 biweekly payroll deduction.

Is there a limit to the number of family members that I can sign up under my payroll?

No. There is no limit to the number of family members that you can add to your payroll deduction. However, once the deductions are processed, they can only be cancelled during the Fall enrollment period. Also, the CCPS employee must be present at the time of family member sign up in order to sign, and thereby authorize, the payroll deduction form.

Who qualifies as a family member?

Any person interested in signing up under a CCPS employee must be considered one of the following relations to the CCPS employee and living within the same household:

  • Spouse
  • Child
  • Sibling
  • Parent
  • Other dependent

Can I just pay for my Gym Membership/Weight Management Program(s)/HRA up front, when I sign-up?

No. To receive the discounted rates for any program incentives, they must be processed through payroll deduction.

If I sign up for a Gym Membership/Weight Management Program, is there a charge for the HRA?

No. If you sign up for a Gym Membership or Weight Management Program, the cost of the HRA is waived.

I already have a Gym Membership. Can I still sign-up? How does that work?

If you are currently a World Gym Member, you can sign for the program. We do what is called a “Contract Rewrite” for your gym membership. You will get a new KeepWell@Work Key Tag. Your membership will start on the day you sign up. Your monthly rate will change from your non-KeepWell@Work rate to the $15.00 per month rate on your next billing cycle. The $20 new member enrollment fee is waived for contract rewrites.

I would like to sign up for more than one Weight Management Program. Is that allowed?

Yes. Each person can sign up for multiple Weight Management Programs. Each program costs $10.00 per month per person.

I would like to cancel one of the programs I signed up for. What do I need to do?

Cancellations can only be processed after you have fulfilled your one year agreement. At this time, only employees who enrolled during the Winter/Spring 2012 period will be allowed to cancel their gym membership and/or weight management programs. If you would like to cancel, you will need to come to one of the biometric sessions (in person) and complete the cancellation form. Cancellations can only be processed by completing the form in person; email or phone requests to cancel will not be accepted.

I signed up my child for a Gym Membership. He/She is going away for college but I don’t want to cancel their membership. What can I do?

You can “freeze” your child’s gym membership. This means that their gym membership will not be active during the freeze period. If you freeze their account and your child comes home for a weekend or break, he/she will not be able to use the gym. If, for example, you freeze the membership for 4 months, the length of the contract will be extended by 4 months. I currently pay for childcare wih my Gym Membership now. Can I pay for World Gym Childcare through payroll deduction?

No. Childcare fees cannot be processed through payroll deduction. You will still have to pay for the childcare separate from the payroll deduction.

Does the World Gym Membership include the Wilson Ennis Clubhouse?

Not at this time, but we are exploring this as a future opportunity.

Do you offer memberships for the Aquatic Center?

Not at this time, but we are exploring this as a future opportunity.

Does the CCPS employee have to be present for the Family Member(s) to sign up?

Yes. The CCPS employee must be present at the time of any family member sign up in order to sign, and thereby authorize, the payroll deduction form.

Do I need to bring anything with me to sign up?

Yes & No. We have all of the materials you need to sign up at the session. If you are interested in submitting recent lab work, you can bring a copy to your sign up session to be included with your report.

When can I expect to receive my Personal Wellness Profile (PWP) Report?

You can expect to receive your PWP Report approximately two weeks after the end of the enrollment period (not your sign-up date). We do not process any of the online questionnaires until the end of the enrollment period. Reports are processed in the order they were received/completed. It takes approximately two weeks to process all of the reports. Once each person’s report has been completed, they are sent to the email that was provided at your sign-up session.

Will there be an extension period for anyone who misses the deadline?

No. All deadlines are determined by CCPS. There are no extensions, no exceptions.

How does the payroll deduction work?

Payroll deductions are taken biweekly. The amount of the deduction is determined by multiplying the total monthly amount by 12 (for 12 months in a year). That monetary amount is then divided by 26 (representing the 26 pay periods in one year). That amount is your biweekly payroll deduction. It will come out of your paycheck every two weeks. See below for the mathematical breakdown:

 Gym Membership

  • ($15 per month) x (12 months) = $180 per year
  • ($180 per year) / (26 pay periods in one year) = $6.92 payroll deduction every two weeks

Weight Management program

  • ($10 per month) x (12 months) = $120 per year
  • ($120 per year) / (26 pay periods in one year) = $4.62 payroll deduction every two weeks

What is the stipend?

CAESS employees should refer to Article 14.18 of their union contract with the Board of Education.  CASA employees should refer to Article 19.5 of their union contract with the Board of Education.

I am a part-time CCPS employee. Am I eligible to participate in the program?

Yes, CCPS employees under an employment contract, including part-time, are eligible to participate in the program.  The program is not offered at this time for substitutes.

Who determines program eligibility?

CCPS determines program eligibility and works in partnership with the KeepWell@Work staff.
